INVITATION TO SPONSORS and EXHIBITORS

The 8th International Conference on Rodent Biology and Management (ICRBM 2025) will be held between 1-5 September 2025 at The Canberra Rex Hotel, Northbourne Avenue, Canberra.  The conference is being hosted by CSIRO Health and Biosecurity in conjunction with colleagues from various Australian institutions and organisations.

The Conference venue provides an excellent location for conference delegates and sponsors to learn about the most recent developments in rodent research and development, including technologies to better assist researchers to undertake their studies. A truly great opportunity for in-depth scientific exchange and future collaborations.

All sponsors and trade exhibitors will be an integral part of the event. Trade exhibits will be co-located in the conference venue where scientific posters are displayed, and where morning and afternoon teas and lunches will be held during each day of the event.

The local organising committee is expecting approximately 120-180 delegates from throughout the world – Africa, Asia, China, North and South America and Australasia – to attend.

AVAILABLE SPONSORSHIP PACKAGES

The intention of each sponsorship package is to provide valuable exposure to the sponsor to enhance communication possibilities and benefits before, during, and after the conference.

In general terms

Before the conference, a sponsor’s logos will be published, including hyperlinks to the sponsor’s webpage at the dedicated conference website

During the conference,

  • Exhibition space will be available to highlight the sponsor’s profile and enable distribution of promotional materials
  • Advertisement in the Final programme
  • Promotional materials included in the participant’s satchels
  • Listing and logo published in the Final programme and in the Book of Abstracts
  • Full access to conference sessions, coffee breaks, conference dinner, field excursions and other social events for a negotiated number of sponsor’s representatives,
  • Logo visible on the screen during the plenary sessions and before/after dedicated talks

After the conference

Full acknowledgement of sponsors and their contribution(s) where relevant in published materials

LARGE SPONSORSHIP PACKAGES

Gold partner (AUD 30,000):

1. Exhibition space (~3 x 1.5 m) in a prime location in the exhibition room.

2. Sponsorship of a specific scientific session that reflects the sponsor’s research or industry activities. If relevant, a scientifically-oriented presentation by the Gold partner could be included in the scientific program.

3. Acknowledgement of the Gold sponsor in all aspects of the Scientific program, on the conference website, in book of conference abstracts and acknowledged in post conference communications

4. Placement of the Sponsor’s banner inside the presentation room when relevant or throughout the conference

5. Institutional/sponsor logo published in the section of the conference website dedicated to sponsors with a link to the Gold partner website

6. Institutional/sponsor logo in the hard copy of the program that will be delivered to the participants and in communications sent to participants after the event

7. Opportunity to have Gold partner’s logo visible on one of the elements of the hard copy materials provided to delegates at the time of registration ( e.g. Lanyards for name badge holders, 2) Conference satchel  3) Pocket programme etc)

8. Insertion of an advertising flyer (produced by the sponsor) in the Conference satchel

9. Full access to all conference parts, including conference lunches and coffee breaks, conference excursion.  Number of Gold sponsor delegates attending the conference to be negotiated with organisers.

Silver partner (AUD 15,000):

1. Exhibition space (~3 x 1.5 m), located in a frequented area of the exhibition hall.

2. Availability of a private area for meetings with the participants

3. Possibility to place a banner by a Supporter outside the plenary hall during the assigned slot

4. Institutional/sponsor logo published on the conference website dedicated to sponsors with a link to the Supporter website

5. Institutional/sponsor logo in the hard copy of the program that will be delivered to the participants

6. Insertion of an advertising flyer (produced by the partner) in the conference satchel

7. Full access to all conference parts, including conference lunches and coffee breaks, conference excursion.  Number of silver sponsor delegates attending the conference to be negotiated with organisers.

Bronze partner (AUD 7500):

1. Exhibition desk (table with two chairs). The layout of the exhibition space will be the responsibility of the Exhibitor

2. Institutional/sponsor logo published on the conference website dedicated to sponsors with a link to the Exhibitor website

3. Institutional/sponsor logo in the hard copy of the program that will be delivered to the participants

4. Insertion of an advertising flyer (produced by the partner) in the conference satchel

5. Full access to all conference parts, including conference lunches and coffee breaks, conference excursion.  Number of bronze sponsor delegates attending the conference to be negotiated with organisers.

SUPPORTING THE SCIENCE

Sponsoring a specific plenary speaker (~AUD 7500 per speaker) (covers return economy air-fare from home country, registration and accommodation at conference venue for 6 nights)

– arrangements to be negotiated directly between conference organisers and the sponsor.

Sponsoring a specific symposium (~AUD 5000 per half-day symposium)

– arrangements to be negotiated directly between conference organisers and the sponsor.

Sponsoring Early Career Researchers (ECRs) (<3.5 years post PhD) (~AUD 3000 per ECR)

– Support attendance at the conference of young scientist(s) or technicians who are presenting their rodent research results. Eligible ECRs will apply for funding and their applications will be assessed by a sub-Committee of the Scientific Program Committee.  Applicants are expected to provide at least matching funding from their home institution.  

SPONSORSHIP OF SOCIAL EVENTS

  • Welcome Reception (~AUD7500);

Venue: Canberra Rex, Monday 1 September 2025

  •  Possibility to place a banner by a Sponsor at the Welcome reception venue – a great networking opportunity.
  • Half-page advertisement in the Final programme

  • Institutional/sponsor logo in the book of conference abstracts provided to conference delegates
  • Acknowledgement letter post-conference.
  • Full access to all conference parts, including conference lunches and coffee breaks, conference excursion.   (Need to determine how many sponsor members can attend)
  • Conference dinner (Venue to be confirmed for evening of 5 September 2025 (~AUD20,000 – to be negotiated).

2. Welcome speech by Sponsor representative before the beginning of the dinner

3. Sponsor’s logo printed on the menu list delivered to each participant

6. Institutional/sponsor logo in the hard copy of the program that will be delivered to the participants and in the “Thank you letter” that will be send to participants after the event
